German University Admission Timeline for Indian Students: A Real 7-Admit Case, Month by Month

Last Updated: October 6, 2026

Every Germany timeline guide on the internet is written backwards — a tidy spreadsheet of ideal dates that no real applicant has ever followed. This one is different.

In early 2026, an Indian applicant posted their complete, dated admissions timeline on r/studyinGermany — APS certificate to visa — for a Summer 2026 intake. It included the parts most guides skip: the rejection count, the IELTS retake, and the long wait between the first application and the first answer.

Below, we walk through that real timeline month by month, then layer the official deadlines (APS, uni-assist, visa) underneath it, and extract the four strategic moves that actually decided the outcome. We do not name the poster, and all figures are self-reported — we've marked them that way throughout.

QUICK ANSWER: The Realistic Germany Admission Timeline (Summer Intake)

  1. About 9 months before the semester (case: 7–22 July): APS first. Fee ₹18,000, non-refundable; start before anything else.
  2. Roughly 8 to 4 months out (case: 20 Aug to 1 Dec): applications, wide and tiered. The case sent 26.
  3. Roughly 4 to 3 months out (case: 7 Nov to 9 Jan): admits arrive in waves, nine weeks from first to last. Rejections arrive too.
  4. From the first admits (case: visa file started 27 Nov, visa 15 Jan): the visa sprint. Blocked account (€11,904 per year), consular portal form, corrections, appointment. Seven weeks from file start to visa.
  5. Keep IELTS valid through the visa filing (case: retaken 9 Dec). Results are valid for one year.

The case study below shows each of these phases with real dates.

The Case Study: One Applicant, 26 Applications, 7 Admits

The dated timeline

Dates are as given in the post. The post does not state years; they are inferred from its publication date (15 January 2026), so the cycle runs July 2025 to January 2026.

When (dated in post)What HappenedWhy It Mattered
7 JulAPS documents submittedThe gate everything else waits on
22 JulAPS certificate received (15 days later)In hand a month before the first application went out
20 AugFirst application sentApplications ran from 20 Aug to 1 Dec: three and a half months
7 NovAdmit #1: TU Ilmenau, M.Sc. Research in Computer and Systems EngineeringA technical university; the first answer came 11 weeks after the first application
13, 14 and 18 NovAdmits #2–4: Deggendorf Institute of Technology (Automotive Software Engineering), University of Rostock (Computer Science International), Deggendorf Institute of Technology (Artificial Intelligence & Data Science)Three admits in six days, from two different university types
27 NovVisa file started: blocked-account confirmation received (the post names Expatrio as the provider; not an endorsement) and the consular portal (CSP) form begun. CSP form submitted and fee paid on 29 NovThe visa paperwork started before the last two admits had arrived. The blocked-account figure the official portal states is €11,904 for a year
1 DecAdmit #5: TU Ilmenau, M.Sc. Data Science. Also the date of the last application sentAdmits kept arriving after the final application went out
9 DecIELTS retaken (overall 8 again)IELTS results are valid for one year, so this was a mid-process correction to keep the file valid; most guides never mention it
10 DecCorrected visa application resubmitted (corrections were requested on 3 Dec)Expect at least one correction round
17 DecVFS Chennai slot booked for 6 Jan (no slots were available when the booking page opened on 11 Dec)Appointment slots can be the slowest step; book the moment the page opens

University types in the seven admits: one technical university (TU Ilmenau, two admits), one classic university (Rostock, one admit), and two universities of applied sciences (Deggendorf Institute of Technology, three admits, and Hof, one admit).

What the post does not say: the dates of the 11 rejections, which applications went through uni-assist and which directly, how many went out in a first wave, and the enrolment date. We have left these out rather than guess.

What it cost (self-reported, in INR)

ItemAmount as stated in the post
Agent₹15,000, plus ₹5,000 after the admit, plus ₹5,000 for visa processing
ApplicationsAround ₹30,000
IELTS₹16,500 first sitting, ₹17,000 retake
German course₹9,500
Consular portal (CSP) fee₹1,039
Visa₹8,036 (€75 visa fee) plus ₹3,135 for a premium appointment

Adding the poster's figures gives roughly ₹1.1 lakh (about ₹1,10,000) in fees and services. That is our arithmetic on self-reported numbers, and it excludes the blocked-account funds themselves, travel, and living costs. Build your own numbers with the Financial Readiness Calculator.

What the raw timeline teaches before we interpret it: this applicant spent most of the cycle not knowing. The silence between submitting and hearing back is not a bug — it is the process. Planning for it emotionally and financially is a strategy in itself.

The General Timeline: What the Official Sources Actually Say

The personal timeline above fits almost perfectly inside the official framework. Here is that framework, with sources — verify each date at the source before publishing, as requirements shift between cycles:

APS Certificate (Akademische Prüfstelle)

  • Fee: ₹18,000, non-refundable once paid (the APS site confirms the fee is non-refundable regardless of outcome; confirm the current amount at aps-india.de before paying).
  • Processing: typically 3–4 weeks once the complete document set and payment are received, longer in peak season (in the case study, 15 days passed between submitting the documents and receiving the certificate). Confirm current timing at aps-india.de.
  • Full walkthrough: our German APS guide covers documents, translations, and the mistakes that stall applications.

Language Tests

  • IELTS Academic: computer-delivered results typically arrive in 3–5 days. Results are valid for one year, which is why the case-study applicant retook it before the visa filing.
  • TOEFL iBT: check the current format and score-delivery time at ets.org before booking.
  • German: B1 minimum for admission to many programs; B2 is the employability line (more below).

University Application Windows

  • Summer intake: applications typically open mid-September to mid-January (many close 15 January) — [verify per program at uni-assist.de / university portals]
  • Winter intake: applications typically open mid-March to mid-July (many close 15 July).
  • uni-assist processing: roughly 4–6 weeks from a complete application — which is why "submit 6 weeks before the deadline" is the practical rule, not "submit by the deadline."

Visa

  • Blocked account: the official Study in Germany portal states that the "Regelbedarf" of €11,904 for one year (about €992 per month) is usually what must be covered. The amount follows the BAföG maximum rate, so it can change between cycles: confirm the current figure on the German Missions India page and with your blocked-account provider before you transfer. Our full guide: Germany Blocked Account 2026.
  • Appointment wait: varies wildly by mission and season; book the moment you have an admit, not after you "finish everything else."
  • Processing: typically several weeks after a complete file; interview prep matters — run your profile through our Visa Rejection Risk Analyzer before you submit.

The Four Moves: What Each Phase Actually Means

Strip away the dates, and this case study is four decisions. Get these right and the timeline takes care of itself.

Move 1: APS first — it's the license, not the paperwork

Without the APS certificate, German universities will not process your application and the embassy will not touch your visa file. Everything in the timeline queues behind it. Applying early — even before your shortlist is final — is the single highest-leverage act in the whole process. The ₹18,000 fee is non-refundable, so submit a clean file once, not a rushed file twice.

Move 2: Apply wide, in tiers

26 applications is not recklessness — it's arithmetic. With an 8.51 CGPA (a German-scale grade of 1.89, as stated in the post), this applicant was competitive but not bulletproof, and 11 rejections arrived anyway. German admissions are program-level decisions made by examination boards, not university-level decisions made by brand. The correct response to that variance is volume with structure: 25–30 applications split across Safe / Target / Ambitious tiers. Run your profile through the German University Shortlister to set those tiers against real program requirements before you spend a rupee on uni-assist fees.

Move 3: Keep IELTS valid: the retake is a calendar decision

This applicant's first IELTS was already an overall 8 (L9 / S7 / R8 / W7). They did not retake because the score was too low: per the post, they retook it (9 December, overall 8 again) because IELTS was valid for only one year. Your visa file needs a valid score on the day you submit it. The lesson is to check the expiry date against your visa timeline when you book the first sitting, and to budget for a second attempt in money and calendar if the dates don't line up. In this story the retake cost ₹17,000 and sat in the middle of the visa sprint.

Move 4: After the first admits, the visa is a sprint

Look at what the visa file actually involved in this case: blocked-account confirmation and the consular portal form started on 27 Nov; form submitted and paid 29 Nov; corrections requested 3 Dec; corrected file resubmitted 10 Dec; the appointment page opened 11 Dec with no slots; a VFS Chennai slot booked 17 Dec for 6 Jan; passport back with the visa 15 Jan. That is seven weeks from file start to visa, with one correction round and one scheduling wait inside it. Start the visa file when the first admit you would accept arrives, not after you have finished deciding among all of them.

Admission Is Not Hiring: Plan on B2 German

Here is the part the timeline doesn't show. This applicant cleared every admissions gate in English — but admission is not employment. German internships, part-time student jobs, and graduate jobs operate largely in German. B1 will get you through daily life; B2 is where employers start saying yes.

The cheapest month to learn German is the month you're already waiting on APS or uni-assist — the dead time in this very timeline. Our German classes in Bangalore run batches from A1 through B2, sized for applicants building language alongside their applications.

Honest Limits: Read This Before You Copy the Playbook

  • One person's path is not a guarantee. This applicant had a strong profile (8.51 CGPA, a German-scale grade of 1.89) and still collected 11 rejections. Outcomes vary by program, semester, and examination board.
  • The numbers are self-reported. We quote them as stated; we have not independently verified grades, admits, or costs.
  • Costs are as reported. Test fees, uni-assist per-application fees (~€75 first, ~€30 each additional), APS, blocked account, courier and translation charges add up — build your own budget with our Financial Readiness Calculator, not someone else's spreadsheet.
  • Cycles change. Deadlines, fees, and the blocked-account figure shift between intakes. Verify at aps-india.de, uni-assist.de, and the German Missions portal before you commit to dates.

Frequently Asked Questions

When should I start preparing? Work backwards from the semester you want. In the case study, the applicant had the APS certificate by 22 July for a Summer (April) start, applied between 20 August and 1 December, and received admits between 7 November and 9 January. Many programs close earlier than that (often 15 January for summer and 15 July for winter), so check each program's own deadline.

Can I apply to German universities before getting my APS certificate? Practically, no for most universities — APS verification is part of the required document set, and uni-assist processing pauses without it. Start APS before you finalise your shortlist, not after.

How many universities should I apply to for Germany? The real answer: more than feels comfortable. 25–30 tiered applications is rational given program-level rejections. Below 15, you're letting variance decide your year.

My IELTS is 6.5. Should I retake it before applying? It depends on your tier list. 6.5 clears many Safe and non-NC programs; Target and Ambitious English-taught programs often want 7.0+. Model both scenarios in the German University Shortlister before paying for a retake.

What if all my applications get rejected? Then the shortlist was wrong, not necessarily the profile. In this case study, 11 of 26 applications had been rejected (and 7 were still undecided when the post was written) at a strong profile. A zero-offer outcome usually signals mis-tiered lists or subject-mismatch (Fachrichtungsrelevanz), both fixable. That's precisely the case our refund-backed shortlisting engagement exists for.

Summer or Winter intake — which is easier? Winter has more programs and more seats; Summer has fewer applicants per seat. The right question is which one your timeline can serve with APS and IELTS done properly. A rushed Summer application loses to a prepared Winter one.

Key Takeaways: The Real Germany Admission Timeline

  • APS is the head of the timeline. Nothing queues before it; ₹18,000, non-refundable: submit one clean file early.
  • Volume with tiers beats precision with hope. The real case: 26 applications → 7 admits, with 11 rejections along the way.
  • Keep IELTS valid. It expires after a year; the retake in this story was a calendar decision, not a failure.
  • The visa is a sprint. In this case: seven weeks from file start to visa, with a correction round and a slot wait inside it.
  • Verify every date at the source (aps-india.de, uni-assist.de, German Missions India) — fees and windows shift each cycle.
